Managing entries
Import, export and moving from Quform
Export and import forms, import entries from a CSV file, move forms and entries from Quform, and undo an import.
Exporting and importing forms
Forms, Import and export exports one form or all forms to a JSON file with their design, emails and settings. Stored credentials and entries are never included; export entries from the Entries screen.
To import, choose the file or paste its contents and select Check. You see a report before anything is created (for a file with several forms, the list of forms); then select Import as a draft. Imported forms are never published automatically, and Recent imports can undo a whole file at once.
Importing entries from a CSV file
Forms, Import and export, Import entries from a CSV file adds entries to a published form from a spreadsheet saved as CSV (comma, semicolon or tab separated; UTF-8, UTF-16 and Windows encodings are read). Files can be up to 5 MB and 10,000 rows.
- Choose the form and the file. The first row is used as column titles when one of them names a field; turn off The first row holds column titles if your file has none.
- Check the mapping. Each column is matched to a field by its label or field name, and the Reference, Date and User columns of the plugin's own CSV export map back to the entry's details. Choose Do not import for columns you do not need.
- Select Check. Every row is checked with the form's own rules, the same as answers sent through the form. The report shows how many rows can be imported, how many have problems, and each problem with its row number, column and value. Nothing is saved yet.
- Select Import. Rows with problems are skipped; fix them in your file and import it again.
How cells are read:
| Field | Write it as |
|---|---|
| Choices | The choice's label or value, letter case ignored. Several choices are separated by commas or semicolons; labels that contain a comma are recognised. Unknown answers go to "Other" when the field allows it |
| Name | The whole name (split into first and last name), or map separate columns to each part |
| Address | Map columns to each part; a single column fills the first line |
| Number | With or without the field's prefix and suffix, and with thousands separators |
| Date | 2026-10-12, or the day and month order of your site's language |
| Country | The two letter code or the English name |
| Consent | Yes, 1 or true (No, 0 or false leave it unticked) |
| Date submitted | 2026-10-12 14:30 in your site's time zone, or with an offset such as 2026-10-12T14:30:00+01:00. Empty cells use the time of the import |
| User | A user id, email address or username on this site. Unknown users are reported as a warning and the entry is saved without a user |
Files, signatures, passwords, calculations and fields in repeating groups are not imported. Turn off Report empty answers in required fields to import older data that left required fields empty.
Imported entries are marked as read and get a line in their timeline. Emails, confirmations, integrations and payments do not run for them. Each row is remembered, so importing the same file again skips the rows that were imported before. Recent CSV imports lists each import; Undo deletes the entries it created and leaves the form and its other entries alone.
Moving from Quform
Flavonto Forms reads Quform 2 forms in two ways.
From a Quform form export (any site): in Quform, open Forms, Tools, Export form, copy the export text, and paste it into Import a form here.
From Quform on the same site: when Quform's tables are present, Forms from Quform on this site lists every Quform form with its number of entries. For each form you can Check the conversion, include its entries, and Import. Quform and its data are not changed.
The report lists what changed in the conversion, for example:
- elements that become a different Flavonto Forms element, and what they became,
- settings that are not available and what to use instead,
- conditions converted from option ids to values,
- merge tags converted to field names,
- fields without labels, which get a hidden label so the form can be published accessibly.
With entries included, each Quform entry becomes an entry linked to the imported form, with its answers, labels, and uploaded files copied into private storage. Entries keep their original dates.
Old shortcodes
If your pages still contain [quform id="5"] or [quform_popup id="5"]...[/quform_popup], turn on Show imported forms for old [quform] shortcodes in Settings, Data after importing, and deactivate Quform. The old shortcodes then show the forms imported from Quform on this site, keeping show_title and show_description (popup options such as the Fancybox settings are ignored; the popup uses its own dialog). Forms imported from an export text are not linked to old shortcodes, because the same number may belong to a different form on another site.
Undo
Recent imports lists each import. Undo deletes the forms that import created, with their entries and files. The original Quform data is never affected.
